Business Loan Documents Checklist for Small Businesses in Uttarakhand
Every document banks and NBFCs usually ask for in a business loan application, grouped so you can prepare them in one go.
Most delays in business loans come from missing or mismatched papers, not from the business itself. Having your business loan documents ready before you apply makes the bank's job easier and your sanction faster. This checklist groups what banks and NBFCs typically ask for.
1. KYC of the business and its owners
- PAN of the business (firm, LLP or company) and of each proprietor, partner or director
- Aadhaar and photographs of each owner
- Address proof of the business premises: ownership papers, rent agreement or utility bill
- For partnerships and LLPs: partnership deed or LLP agreement
- For companies: certificate of incorporation, MOA and AOA, and a board resolution to borrow
2. Registrations
- Udyam registration, essential for MSME schemes and CGTMSE cover
- GST registration certificate, if registered
- Shop and establishment registration or trade licence
- Sector licences where relevant: FSSAI for food, drug licence, tourism or homestay registration
3. Financial documents
- Income tax returns for the last 2 to 3 years with computation of income
- Profit and loss account and balance sheet, audited where required
- GST returns for the last 12 months
- Bank statements for all business accounts for the last 12 months
- Details of existing loans: sanction letters and recent statements
4. For working capital limits
- Stock statement and debtors' ageing list
- Major purchase orders or supply contracts
- Projected sales and working capital calculation for the next year
Suppliers to industrial buyers should also read our guide on working capital, TReDS and the 45-day payment rule.
5. For term loans (machinery, expansion, new projects)
- A project report: what you will buy, total cost, means of finance and projected cash flows
- Quotations from suppliers
- For construction: approved plan, estimate and land documents
6. For secured loans
If you offer property as security, the bank will also need the property chain, mutation, approved map and valuation. Our loan against property guide covers these.
Checks banks run on your documents
- GST vs bank credits: turnover in GST returns should broadly match receipts in your bank account
- ITR vs financials: income in ITRs should match the audited accounts
- Credit report: of the business and every promoter; overdue amounts anywhere can stop the loan
- Cheque bounces: frequent returns in bank statements are a red flag
Tips to avoid delays
- Keep business and personal transactions in separate accounts
- File GST and income tax returns on time; late filings raise questions
- Clear small overdues on credit cards or older loans before applying
- Keep the loan amount realistic and linked to a clear purpose
- Prepare a one-page summary of the business: what you do, main customers, turnover trend and why you need the loan
Which loan fits?
- Up to ₹20 lakh for a micro unit: Mudra loan
- First-time entrepreneur and state resident: MSY 2.0
- Larger or established business: business loan or MSME loan

Frequently asked questions
How many years of ITR are needed for a business loan?
Usually 2 to 3 years with computation of income. Some lenders accept one year for smaller loans or new businesses.
Is GST registration mandatory for a business loan?
Not always, but if your business is registered, banks will ask for GST returns and compare them with bank credits.
Do I need audited financials?
Where an audit is required by law, yes. For smaller businesses, CA-prepared financials and ITRs are often accepted.
Why does my credit score matter for a business loan?
Banks check the credit reports of the business and all promoters. Overdues in personal loans or cards can affect the business loan.
What is a project report?
A short document showing what you will buy, total cost, how it will be funded and expected cash flows to repay the loan.
